What a complete spreading record contains.

01 — THE RECORD

Six things, every job. Miss one and the record can't do its job when the Environment Agency or a FACTS adviser asks for it.

01

Field

Which farm, which field, its area in hectares and whether it sits in an NVZ. The record has to point at one field, not "the top block".

FIELD · HA
02

Date and time

When the job started and when it was signed off. NVZ rules want the record made within a week of spreading and the date checked against the closed period.

DATED
03

Product

Digestate, slurry, FYM, compost, poultry manure, lime, biosolids — and where it came from. The nitrogen the field is credited with depends on it.

MATERIAL
04

Rate and tonnage

Tonnes or cubic metres applied and the rate per hectare, which gives the kg N/ha that goes against the field's nitrogen budget.

T · CU M · KG N/HA
05

GPS stamp

Position and time captured on the phone at sign-on and sign-off. Proof the driver was in that field on that day, not a photo of a tanker in a gateway.

LAT · LONG · TIME
06

Driver sign-off

The driver's signature, their pre-start vehicle check, the site risk assessment with the weather on the day, and photos of the job.

Why paper and WhatsApp fail an inspection.

02 — THE PROBLEM

Most contractors have a record of sorts: a day book in the cab, a WhatsApp group with the drivers, a spreadsheet in the office. None of it was built to be read by an inspector.

A photo of a tanker proves you own a tanker. It doesn't prove what went on which field.

01

The record is written after the fact

The day book gets filled in at the kitchen table on Friday. Dates and rates come from memory, so every job lands on a round number — and an inspector knows what a round number means.

02

There is no proof of where

A WhatsApp photo has a time on it but no field. Nothing ties the tanker in the picture to the field on the farmer's N plan, so the record can't show the 10 m from the watercourse was kept.

03

It doesn't survive five years

Phones get replaced, chats get cleared, day books go in a drawer. The rules say five years. The FACTS adviser asks in March for last season's, and it isn't there.

How the driver app and Field Passport produce it.

03 — HOW IT'S MADE
01

The job goes on the diary

Customer, farm, field, product and target tonnage, set in the office in a few taps. It lands on the driver's phone instantly.

02

The driver opens it in the cab

Pre-start check first, then the site risk assessment with live wind and rain. Works with no signal.

03

Sign-off in the field

Loads and tonnage, GPS position and time, photos, signature. Done before the next field.

04

The Field Passport files it

The job joins the field's history with its kg N/ha. Export a PDF or CSV, and the invoice comes from the same record.

Spreading record questions.

04 — FAQ

The field and its area, the farm, the date and time, the material (digestate, slurry, FYM, compost, lime), the quantity applied in tonnes or cubic metres and the rate per hectare, the nitrogen it carried in kg N/ha, who spread it, and the site conditions at the time. For an inspection you also want proof of where and when: a GPS position and timestamp at sign-off and the driver's signature.
